This policy sets out how D&D Syndic collects, uses and protects the personal data of its clients, prospective clients and website visitors, in accordance with Regulation (EU) 2016/679 of 27 April 2016 (GDPR) and the Luxembourg law of 1 August 2018 on the organisation of the National Commission for Data Protection.

When you use the website and submit a quote request, we collect the following data :

  • Contact details : e-mail address, telephone number
  • Condominium data : name of the residence, address of the building, number of units
  • Purpose of the request : type of syndic or advisory assignment requested
  • Free-text message : contextual information you send us
  • Technical data : IP address, browser type, pages visited (server logs)

3. Purposes of processing

Your data is used exclusively in order to :

  • Handle your quote or contact request
  • Draw up a syndic quote tailored to your condominium
  • Manage the contractual relationship if you entrust us with the syndic mandate
  • Comply with our legal and regulatory obligations
  • Improve the quality and security of the website

4. Legal bases

The processing of your data is based on :

  • Your consent (quote request form)
  • The performance of a contract (syndic mandate, client relationship)
  • Legal obligations (regulations applicable to condominiums in Luxembourg)
  • Our legitimate interest (website security, fraud prevention)

5. Recipients

Your data is accessible only to the following persons :

  • The property managers and staff of D&D Syndic
  • The technical service providers of the D&D Group group, strictly within the limits of their assignments
  • Public authorities upon lawful request (administrative, tax and judicial authorities)

No data is transferred to third parties for commercial purposes.

6. Retention period

  • Requests that did not proceed : 3 years from the last contact
  • Client files : duration of the mandate + 10 years (legal obligations and limitation periods)
  • Technical logs : 12 months maximum

7. Your rights

In accordance with the GDPR, you have the following rights :

  • Right of access to your data
  • Right to rectification of inaccurate data
  • Right to erasure (the “right to be forgotten”)
  • Right to restriction of processing
  • Right to data portability
  • Right to object to processing
  • Right to withdraw your consent at any time
  • Right to lodge a complaint with the CNPD (Commission nationale pour la protection des données — cnpd.public.lu)

8. Exercising your rights

To exercise your rights, contact us by e-mail at syndic@ddgroup.lu or by post at the address given above, providing proof of your identity. We will reply to you within one month.

9. Data security

D&D Syndic implements appropriate technical and organisational measures to protect your data against any loss, unauthorised access, disclosure or destruction. The website is hosted on a secure infrastructure (HTTPS, monitoring, regular backups).

10. Cookies

The website does not use advertising profiling cookies or third-party tracking. Only technical cookies strictly necessary for the proper functioning of the website may be placed (browsing preferences, security, storage of your consent choice).

As of today, no audience measurement (visitor statistics such as Google Analytics / GA4) is active on the website. Your cookie choice is stored locally in your browser (key ddsConsent) and can be changed at any time by clearing the website data.
